AI workflow automation Toronto

Map the manual work.
Then make it flow.

Powerflo finds the repetitive work eating your team’s week, then builds the automations that remove it. We use n8n, with AI steps where judgement is needed, for a fixed fee you know before we start.

01 — The problem

The work nobody put in a job description.

Re-keying orders. Chasing invoices. Copying data from one tool into another. Triaging the shared inbox. Building the weekly report by hand. None of it is hard, and none of it is the reason you hired anyone, but it fills the week.

It usually isn’t one big process. It’s a dozen small ones, held together by someone who remembers how it goes. Drag the slider to see the same five tasks tangled by hand and then on a straight rail.

02 — What we automate

Common manual processes, drawn as a parts list.

If your team does it the same way every time, there is a good chance it can be a workflow. Here are the usual suspects.

  • PART 01

    Order entry

Orders that arrive by email or PDF land in your system without being re-keyed.

  • PART 02

    Invoice chasing

Reminders go out on schedule, and a person steps in when a customer needs a call.

  • PART 03

    Tool-to-tool copying

Data moves between your CRM, spreadsheets, accounting and inbox on its own.

  • PART 04

    Shared-inbox triage

Incoming mail is read, classified and routed to the right person, with a draft reply ready.

  • PART 05

    Weekly reporting

The Monday report assembles itself from the tools the numbers live in.

  • PART 06

    Document reading

Invoices, forms and delivery notes are read and turned into structured fields.

  • PART 07

    Reply drafting

Routine questions get a drafted answer, and a person approves it before it goes out.

  • PART 08

    Intake & onboarding

New-client details are collected once and set up everywhere they need to be.

Process Audit

We sit with your team and map the manual, repetitive work: re-keying orders, chasing invoices, copying data between tools, triaging the shared inbox, building the weekly report by hand. Then we rank what is worth automating, and say so plainly when something isn’t.

What you get

  • A process map of the work we observed
  • A ranked shortlist of what is worth automating
  • A fixed quote for each build

Build sprint

We deliver the automations you picked using n8n, an open workflow-automation platform, with AI steps where judgement is needed: reading documents, classifying emails, drafting replies. They connect to the tools you already use.

What you get

  • Built in n8n, with AI only where it helps
  • Tested with your team on real examples
  • Documented, then handed over so you own it

04 — The difference

Know the cost and the deliverable before work starts.

Every audit and every build sprint is a fixed fee for a fixed scope, quoted before we start. No open-ended hourly consulting, no meter running while we figure out what you meant.

Is this task worth automating?

Pick a task your team repeats and set the three sliders. You get the hours it costs each month and a rough verdict.

06 — Who it’s for

Built for teams of 10 to 200.

Owners and operations leads at distributors, logistics firms, clinics, agencies and professional-services firms: places where the admin has outgrown the spreadsheet but a large IT project would be overkill.

Powerflo is based in Toronto.

  1. P.01

    Fixed fee, fixed scope

You know the cost and the deliverable before work starts.

  2. P.02

    You own it

The workflows and their documentation are handed over. They aren’t locked to us.

  3. P.03

    Humans stay in the loop

AI reads and drafts. People make the judgement calls, and anything uncertain is flagged to a person.

  4. P.04

    Boring and reliable beats clever

Plain steps you can read, with clear alerts when something fails.

07 — Questions

Before you ask.

Why n8n?

n8n is a workflow-automation platform with a visual editor, so the workflows we build are diagrams your team can open and read, not code locked in a repository. It connects to a very wide range of tools, can call AI models for steps that need judgement, and can run in n8n’s hosted cloud or on your own infrastructure. Powerflo is an independent studio that uses n8n; we are not affiliated with or endorsed by n8n.

What if a process isn’t worth automating?

We say so in the audit. Some tasks are too rare, too varied or too small to repay the build, and the ranked shortlist is meant to show that honestly. You then decide which builds, if any, you want quoted.

Do you need access to our systems?

For the audit, not really: we work from conversations and from watching your team walk through the task. For a build sprint we need access to the tools being connected. We ask for the narrowest access that does the job, ideally a dedicated account you can switch off whenever you like. If the work touches sensitive information, tell us at the start so it can shape the scope.

Who maintains it afterwards?

You do. The point of the handover is that you own the workflows, the documentation and the accounts they run in. If you would rather have us look after them, we can quote that separately, with the same fixed-fee approach.

What does it cost?

Both products are a fixed fee, quoted before we start. We don’t publish prices here because the scope depends on your processes. The audit tells you what each build would cost before you commit to it.
